Axle Repair Inc. DBA Axle Mobility ("Axle," "we," "us," or "our") provides software and services for commercial fleet repair operations. This Privacy Policy explains how we collect, use, share, and protect information when you visit our website at https://axlemobility.com, request information from us, communicate with us, receive text messages from us, or use Axle services.

If your organization uses Axle, we may process information provided by or on behalf of that organization to deliver the services under our agreements with that organization.

1. Information We Collect

We collect information that helps us operate our website, communicate with customers and business contacts, and provide Axle services. This may include:

  • Contact and business information, such as name, work email address, phone number, company, role, and message details.
  • Account and service information, such as account details, communication preferences, and information your organization provides or makes available through Axle services.
  • Communications information, such as emails, support requests, form submissions, call notes, customer feedback, and text-message preferences or consent status.
  • Billing and administration information, where applicable, such as billing contact information and account or transaction records.
  • Website and device information, such as IP address, browser type, device information, pages visited, referring pages, cookies, and similar analytics information.
  • Integration information, such as messages and other information received from third-party services that a customer or authorized user connects to Axle, including Google Chat, as described in Section 5.

2. How We Collect Information

We collect information:

  • Directly from you or your organization, including through website forms, demo requests, onboarding, support, account setup, and use of Axle.
  • From customers, fleet operators, service providers, vendors, or other authorized users who provide business contact information to use Axle.
  • When you communicate with us by email, phone, text message, web form, or other channels.
  • Automatically when you use our website or services, including through cookies, logs, analytics tools, and similar technologies.
  • From public sources, business records, or third-party services where permitted and relevant to our business operations.
  • From third-party services that a customer or authorized user connects to Axle, including Google Chat, as described in Section 5.

3. How We Use Information

We use information to:

  • Respond to inquiries, provide demos, support customers, and communicate with business contacts.
  • Provide, operate, secure, maintain, and improve our website and services.
  • Create, administer, authenticate, and support user accounts.
  • Coordinate service-related communications, including account, support, operational, repair-dispatch, and status-update messages.
  • Send transactional, administrative, support, service, account-related, and SMS/text message communications.
  • Process payments, manage billing, enforce terms, prevent fraud, protect our services, and comply with legal obligations.
  • Analyze usage, improve performance, understand customer needs, and collect feedback.
  • Send marketing or promotional communications where permitted by law and consistent with user preferences.

If we need to use your information for a materially different purpose, we will seek consent where required by law.

4. SMS/Text Messaging

Axle sends transactional text messages only after the recipient affirmatively opts in to receive them at the mobile number provided or confirmed for that recipient. Consent to receive text messages is not a condition of purchasing or using Axle services or working with an Axle customer.

These messages may include account, support, service, repair-dispatch, status, estimate, document, invoice, and related operational updates. Message frequency varies based on account activity, service activity, and customer-requested workflows. Message and data rates may apply. Recipients may reply STOP to unsubscribe or HELP for help.

Axle does not use repair-dispatch SMS messages for marketing or promotional campaigns. We do not share, sell, rent, or otherwise provide mobile phone numbers, SMS opt-in data, or messaging consent information to third parties or affiliates for marketing or promotional purposes.

5. Google Chat Integration

Customers may connect Axle to a Google Chat space. A user creates a repair request by mentioning @Axle in a message. Axle processes only messages that mention @Axle and does not retrieve other messages or message history from the space.

Information We Receive

For a message that mentions @Axle, Google provides the message text; supported uploaded images or videos; the sender's display name and Chat user identifier; message and thread identifiers and timestamp; and the connected space's name and identifier. When the app is added to a space, Google also provides the Workspace customer identifier and the name and email address of the person who added it. The integration does not request Google Drive access, and Drive-hosted files are not imported.

How We Use It

We use this information to create and route a repair request, identify the reporting user and time, store supported attachments, match vehicle identifiers against the customer's own asset records, and post a confirmation in the same Chat thread. Authorized users of the customer's Axle account can view the resulting request.

Permissions

Axle uses Google Chat permissions to download supported attachments and post confirmations. It does not request access to Gmail, Google Drive, Google Calendar, or Google Contacts.

Use and Sharing

We use information received from Google Workspace APIs only to provide, secure, and support the integration. We do not sell it or use it for advertising, marketing, or to train or improve AI or machine-learning models.

We share this information only with the customer and its authorized Axle users, service providers that host or support Axle and are contractually limited to providing those services, or as required by law or legal process.

Retention, Deletion, and Security

We retain this information for as long as needed to operate the integration and maintain related repair requests, consistent with Section 8 below. Removing Axle from a space stops us from receiving new messages from that space but does not delete requests already created. Deletion requests may be submitted as described in Section 9.

We use reasonable administrative, technical, and organizational safeguards to protect this information. Axle personnel may access it only to provide support requested by a customer, protect security, or comply with law.

Axle's use and transfer of information received from Google APIs complies with the Google API Services User Data Policy, including the Limited Use requirements.

6. How We Share Information

We do not sell personal information. We share information only as needed to operate Axle, provide our services, support customers, comply with law, or complete business transactions. This may include sharing information with:

  • Your organization, customers, fleet operators, service providers, vendors, or authorized users where needed to provide Axle services or support customer-requested workflows.
  • Service providers and processors that support our operations, such as hosting, analytics, communications, payment processing, security, customer support, and data processing vendors.
  • Professional advisors, legal authorities, or other parties where necessary to comply with law, enforce agreements, protect rights, prevent fraud, or respond to legal process.
  • A successor or buyer in connection with a merger, acquisition, financing, reorganization, or sale of all or part of our business.

We require service providers and processors to use information only for the purpose for which it was provided and to retain it only as long as reasonably necessary for that purpose.

For clarity, mobile phone numbers, SMS opt-in data, and messaging consent information are not shared with third parties or affiliates for marketing or promotional purposes.

Information received from Google Workspace is used and shared only as described in Section 5.

7. Cookies and Analytics

We may use cookies, analytics tools, logs, and similar technologies to operate our website and services, understand usage, protect our services, improve performance, and support product or marketing analytics. Your browser may allow you to block or delete cookies, but some features may not work properly without them.

8. Retention and Security

We retain information for as long as reasonably necessary to provide our services, operate our business, comply with legal obligations, resolve disputes, enforce agreements, maintain security, and preserve appropriate business records.

Information received through Google Chat is retained and deleted as described in Section 5.

We use reasonable administrative, technical, and organizational safeguards designed to protect information under our control. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

9. Your Choices

Depending on the law that applies, you may have rights to access, correct, delete, restrict, object to, or receive a copy of certain personal information, or to withdraw consent where processing is based on consent. To make a privacy request, contact us at hi@axlemobility.com. We will respond in accordance with applicable law.

If your account is provided by an organization, some requests may need to be handled by that organization.

You may opt out of marketing communications by using the unsubscribe instructions in those messages or by contacting us.

You may opt out of SMS messages at any time by replying STOP. Where available, you may also update text-message preferences through Axle's services or by contacting us. Opting out of SMS does not affect your ability to receive repair-related communications through other available channels.

10. Third-Party Links

Our website and services may contain links to websites or services that Axle does not operate. This Privacy Policy does not apply to those third-party websites or services. We encourage you to review their privacy practices.

11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we make changes, we will post the updated policy on our website and update the "Last Updated" date. If required by law, we will provide additional notice.
